vTip # 26 - Programming the Borrower, Prospects and Contacts Icons:

The installation and download process will prompt you to answer questions regarding what loan origination software (LOS) system and contact management program you are presently using. InterActive vForms is a "middleware" software. That means vForms will pull data from numerous loan origination software systems and contact management programs. The data will be shown on your vForms screen for you to use, filter, export, or populate RTF and InterActive PDF forms and documents. During the download and installation of vForms, your LOS and contact management software programs should be programmed automatically into vForms allowing you to interact with that data.

STEP ONE: Overview of the vForms LOS and CRM database icons:

  1. We have established three major database icons for use with your vForms: Borrowers; Prospects; and Contacts. Each of these icons can be programmed to access up to 50 individual computer data file folders or directories to retrieve stored files and data (EMPLOYEE ICON IS USED TO CREATE YOUR COMPANY EMPLOYEE DATABASE).
  2. vForms users and the installation program will select the Borrowers and Prospects icons for LOS data files and the Contacts icon for contact management program files. It is not necessary that you follow this procedure. Once the icon has been programmed to a specific data source, all that is needed is to click on that icon and vForms will copy all the data in that folder or directory and show that information on your vForms screen.
  3. If your loan origination software files have been archived in separate folders or directories, you can program additional vForms icons to access these sources; i.e., you have 1999 LOS files, 2000 LOS files, and 2001 LOS files archived to different computer directories/folders. If you wish to retrieve any of these files by clicking on the "Borrowers" icon, you will simply program three "Borrowers" icons to retrieve these data files by following the steps outlined in STEP TWO below.
  4. Many of our vForms users have created multiple folders in Microsoft Outlook. vForms can retrieve these folders in the same manner as #3 above using the "Contacts" icon. Later vTips will show you how to take an excel spreadsheet containing contact data and download this data into Outlook for use with vForms.
  5. vForms is designed to automatically search your computer drives for appropriate data source files for LOS and contact management files. See instructions below when programming new data sources in vForms.

STEP TWO: Programming the Borrowers, Prospects, and Contacts Icons:

  1. Open vForms by clicking on the vForms icon on your desktop monitor, click on "Tools", "Options". Your vForms Options/Settings screen will appear with the "Locations" tab opened.
  2. The locations tab is where you can add additional data sources for vForms to access. You will notice the four icons appearing in the screen: Borrowers, Contacts, Employees, and Prospects. (Do Not Add Data To The Employee Icon With This Screen - Employee data should be added by clicking on the "Employee" Tab across the top of the screen).
  3. To access a data source folder: Right click your mouse under the "View Button" column and then left click on "Insert". A colored box will appear. Left click your mouse in the box and select the appropriate icon (Borrowers, Prospects, Contacts) with a left click of your mouse; i.e., if you have your primary LOS data as borrowers and wish to add additional LOS data files, select "Borrowers".
  4. Directly to the right, click into the "Source" column and then click on the black down arrow. Select the appropriate software program with a left click of your mouse button.
  5. Move to the right and click into the box under the "Location" column. A drop down arrow will appear in the box and a curser will be flashing in this box.  At this point, you have two options to locate the computer folder or directory that houses the data you wish to program with this icon.
  1. Right click on the drop down arrow. A screen will be displayed allowing you to manually find the directory you need for this icon. Once you have located the directory, left click you mouse and then click "OK" to close the vForms "Options/Settings Screen".
  2. You can have vForms search for the appropriate file. At the bottom left of the "vForms Options/Settings Screen" you will notice a box that shows a computer disk with a drop down arrow that will usually have a "C:" displayed. If your data files are located on the C: drive, click on the "Search Now" box.  If your files are located on another computer drive, select another drive by clicking on the down arrow. vForms will display possible files for you to select. Select the appropriate file with a left click of your mouse.  If you do not see the correct data folder or directory, follow the steps outlined in "A" above.
  1. Test your programming by clicking on the appropriate Borrowers, Prospects, or Contacts icon. If you have multiple directories programmed for an icon, these data sources will appear once the icon has been selected. Simply select the data source you desire with a left click of your mouse.
