vTip #28 - AOL Special Features in vForms

All AOL users should read this vTip to make sure they are informed of the procedures needed to take full advantage of the features in InterActive vForms.

These features will include the following:

  • Emailing vForms documents with AOL and Internet Explorer defaults.
  • Attaching documents to AOL emails and pasting RTF automated email messages to outgoing AOL emails.
  • Downloading returning E.A.R.S. forms and documents from your borrowers.

STEP ONE: PROGRAMMING INTERNET EXPLORER FOR AOL EMAILS

InterActive vForms will automatically open AOL and display an open email screen for your outgoing vForms documents and RTF automated messages. If AOL is your primary email system and to have it function properly with vForms, you will need to have your Microsoft Internet Explorer defaulted to AOL email. To make sure your Internet Explorer is properly programmed, follow these steps:

  1. Open vForms.
  2. Click on Tools, Options.
  3. Click on the Defaults Tab.
  4. Click on the Internet Properties button. Your Internet properties will open.
  5. Click on the Program tab. Check the "E-Mail" box and make sure that it displays "AOL". If it does not, click on the down arrow next to the E-mail box and select "AOL".
  6. If an AOL option is not available, close this box and open your AOL account and sign onto AOL.
  7. Across the top of the AOL screen, click on Settings, Preferences, Associations. AOL will display a screen asking if you wish to have AOL as your primary internet browser.
  8. Click OK and close or minimize AOL.
  9. Close vForms and reopen vForms.

You internet explorer will now be programmed to automatically open your AOL account when you use vForms and wish to email documents, forms, and RTF automated email messages.

STEP TWO: ATTACHING DOCUMENTS TO AOL AND PASTING RTF MESSAGES TO THE EMAIL WHEN USING vFORMS

InterActive vForms creates Adobe Acrobat PDF files for you to email forms and documents to your borrowers and clients. When you use AOL as your emailing system, you will need to attach these files to your outgoing email. vForms will send these PDF forms to your DOWNLOAD Subdirectory in AOL. It will be necessary to go there and attach these files to your email. There are three file names and types that will be available. vForms also creates a 4th file type with a .fdf extension. This is the file created by vForms when your client returns your E.A.R.S. technology exe forms:

  1. "Docs.pdf": Documents printed with our vForms Printer.
  2. "Forms.pdf": All InterActive documents from the vForms library.
  3. "Forms.exe": Any vForms document sent with our E.A.R.S. technology (Email Automatic Return System).
  4. "Forms.fdf": E.A.R.S. technology files being returned to you from your clients.

If your Internet Explorer is programmed correctly following the steps outlined in STEP ONE above, your AOL account will open after you have completed the emailing process in vForms. You have the option to print documents using the vForms printer for emailing, to select InterActive documents from our library of forms, and to select a customized RTF document or automated email message that will populate to the body of your outgoing email.

When you have completed this entire process, you will have a vForm screen appear telling you the files you will need to attach and the AOL Download subdirectory where these files can be located. vForms will then open AOL after you click OK (if you are not signed into AOL, you will be prompted by vForms for your password). An outgoing email message will appear.

The following instructions will  now show you how to attach your documents and paste the RTF automated email message to your AOL email file:

  1. After completing STEP TWO above, your AOL email message screen will appear. If you selected an RTF document  to be emailed in vForms,  you will need to move your mouse so the arrow is located in the body of your AOL email screen and right click your mouse. Select "Paste" by clicking on the name. Your RTF automated email message will be pasted into the body of your email.
  2. Next click on "Attachments" and then "Attach". Your AOL "download" subdirectory should automatically appear showing files. You will need to look for a "Docs" file if you are emailing vForms Printer Documents and you will need to look for a "Forms" file if you have selected InterActive forms from your vForms library. Click one time on the appropriate file (this file will be highlighted by AOL) and then click on "Open".
  3. If you have both a "Docs" and a "Forms" file you need to attach to your email, click on "Attach" and then click on the second document and select "Open" once again. After you have attached all documents, click on OK. Review your email, add a subject line if you wish, and then send your email by clicking on the "Send Now" button.

STEP THREE: DOWNLOADING E.A.R.S. RETURNING EMAIL DOCUMENTS FROM YOUR BORROWERS

  1. Open your AOL email containing your returning E.A.R.S. and select the option to download the attached file. AOL 6.0 users select the download now option after you have clicked on "download". Your AOL download subdirectory will appear. Click on the down arrow next to the download and select "Desktop" and then click on "Save". Your file will be downloaded. If you are an AOL 6.0 user, you will be prompted to find the file now. Select "Yes". AOL will locate and highlight your downloaded file. Double click on the file.
  2. Follow the procedures outlined in vTip#21 starting at STEP ONE.

STEP FOUR: AOL AND MULTIPLE ATTACHMENTS (DOCS.ZIP FILES)

When AOL sees multiple attachments, AOL creates a WinZip (Docs.Zip) file and wraps multiple attachments in a single file.  If your recipient is an AOL user, AOL has a built in program to unlock this Docs.zip file. If your recipient is not an AOL user, they can open these files using a free WinZip software program already installed on many computers. If you are an AOL user sending multiple attachments to a non-AOL user,  your client can download the WinZip free software to open these documents by following instructions in #2 below.  Here are your options when sending AOL emails that contain both the vForms Printer documents (Docs.PDF) and the vForms library forms (Forms.PDF) in the same email:

  1. You can send two separate emails, one covering the forms or documents printed by the vForms printer and the other containing forms from our vForms library of InterActive documents.
  2. Send multiple attachments and have your AOL create the Docs.Zip file. If you attach RTF messages or type instructions in the body of your email, you can include a comment to your borrowers that this may contain a Docs.zip file. If your client is unable to open this Docs.zip file, they can download the free WinZip software by going to this website: www.WinZip.com and selecting the "Download 8.0 Evaluation Version".
