| vTip #21 -
Downloading returning E.A.R.S. vForms data into a vForms database and
repopulating forms using the updated information The Professional Edition of vForms allows
your client to edit your emailed forms on line and return these updated changes
to you via email by clicking on a submit button created by vForms!
You are presently given
two options when these edited documents are returned to you from your borrowers:
- Repopulate the edited data into the
same form.
- Drag and drop this data into a vForms
Data dBase/excel database.
Note: 1003
application documents should be downloaded into the vForms FNMA database. See
the vTips relating to creating and using the FNMA Data database in vForms.
vTip #19 showed you how to email E.A.R.S.
technology forms and documents and vTip #20 gave you the instructions on how to
create a database for downloading data from your returning E.A.R.S. files. This
vTip #21 will show you how to download your returning forms into the vForms Data
database, or to repopulate your new data into the original form for printing.
STEP ONE: Receiving your
returned E.A.R.S. form from your client:
- Open your client's email. The returning
edited and updated file will have a .fdf extension.
- Double click on the attachment and save
this file to your computer “Desktop”. (AOL users
should download the .fdf file to their “Desktop” when prompted by AOL.)
- Open your vForms by clicking on the
vForms Icon on your desktop.
STEP TWO: Repopulating a vForm
with the returning updated data contained in the .fdf file:
- Reduce the screen size of your vForms
allowing you to see the library section of vForms and your .fdf file
downloaded from your client in STEP ONE above.
- Click on the .fdf file on your desktop,
hold the left side of your mouse down and drag this .fdf file into the library
forms area of your vForms.
- The data in this .fdf file will open
the appropriate form and repopulate this form with the updated information
from your client or borrower.
- You are now able to print this form for
your loan files.
STEP THREE: Downloading
returning E.A.R.S. email form into your vForm Database:
(Returning 1003 applications should be
downloaded into the FNMA database - see the vTips relating to the FNMA Data
database).
- Open your vForms database by clicking
on the appropriate Borrowers, Prospects or Contacts icon on you desktop (you
created this vForms data file following the instructions in vTip 20).
- Reduce the size of your vForms screen
so you can see the .fdf file on your desktop (same as in STEP TWO).
- Click on your .fdf file on your
desktop, hold down the left side of your mouse and drag this file into the
"Name" area in the left side of vForms.
- A box named "Create A New vForms Data
Source" will appear on your computer screen.
- Type an appropriate file name (i.e.,
client surveys) in this screen and click "OK".
- The data will be loaded into this file.
- To save this data: Click on any of the
other vForms icons (Borrowers, Prospects, or Contacts)---you will be prompted
to save the file, click "Yes".
STEP FOUR: Accessing the data in
your vForms data file:
- Double click on your data file and this
will open your file.
- If you have additional incoming
E.A.R.S. files that are the same vForms (i.e., client surveys), you can then
drag these files into your newly created vForms data file and the additional
forms will be downloaded into the data file.
- Save this data following the steps
outlined in #7 in STEP THREE above.
- Data in the vForms data file can be
downloaded into Excel for future analysis by doing the following:
- Click on your appropriate vForms Icon
that contains your vForms Database Sources.
- The database will appear in the
"Name" area located in the left side of your vForms.
- Right click your mouse on the
appropriate data source file and select the "As a Spreadsheet (Excel File)"
.
- Excel will open and the data in your
vForms data source will be downloaded into an excel file for your use.
