vTip #20 - Creating the vForm Database for incoming E.A.R.S. customer edited files

The Professional Edition of vForms will allow your client to edit your emailed forms on line and return these updated changes to you via email by clicking on a submit button created by vForms! You are given two options when these edited documents are returned to you from your borrowers:

  • Repopulate the edited data into the same form.
  • Drag and drop this data into a vForm Data dBase/excel database.

Why create this database?

When your borrowers or clients edit your forms and documents and return them to you via email, you will be able to:

  • print hard copies of these forms
  • download the client updated data into a vForms database
  • export it to excel for analysis and future retrieval

This vForm Data database should be used for all forms except the 1003 application E.A.R.S. form. See the vTips relating to the FNMA database system incorporated within vForms for downloading returning 1003 application forms.

STEP ONE: Establishing a folder to hold your E.A.R.S. returning email documents

You will need to create a new folder on your computer to hold all your incoming E.A.R.S. technology documents from your borrowers, clients, and vendors.

For this example, we will create a new folder on your "Desktop", and name it "vForms Data":

  1. Go to your computer desktop screen. Right click your mouse button and select "New" and then "Folder".

A new folder will appear on your desktop with the name highlighted.

  1. Right click on the folder and select "Rename".
  2. Change the name of the file by typing "vForms Data" and then press your "Enter" key on your computer keyboard. This will change the name of this folder for STEP TWO.

STEP TWO: Creating a vForms Database

Perform the following steps to create the vForms Database to be used when you receive updated information from your borrowers and clients with E.A.R.S. technology emails.

We will be establishing a database under one of the major icons (Borrowers, Prospects, or Contacts). In this manner, when you click on that specific icon and select the vForms Database in the same manner as you presently select your borrowers, prospects, or contact databases, your computer folder holding the E.A.R.S. returned data will be opened.

  1. Open vForms by clicking on the vForms icon on your computer desktop.
  2. Click on "Tools" and then "Options".
  3. In the vForms Options/Settings screens under the Location tab, click on the Add button.
  4. Left click your mouse in the highlighted box and select Borrowers. (If you choose, you can set this database under the Prospects or Contacts rather than Borrowers.)
  5. Directly to the right, click in the box under "Source" and click the down arrow and select "vForms Data".

  1. Directly to the right, click in the "Location" box and select the folder established in "Step One" above. If you did not establish the vForms Data folder on your desktop, we would then recommend you establish this file folder database in a secure area of your computer which your data backup system accesses.

  1. Click on "OK".

When you want to access this database, click the Borrowers Icon and select the "vForm Data" option (if you choose the Prospects or Contacts icon in #4 above, click on that appropriate icon).
