vTip #19 - Emailing InterActive vForms to clients using the E.A.R.S. technology via encrypted email

With the Professional Edition of InterActive vForms, you can email a customized form from your library of forms to a client, have them edit this document, and return the updated form to you via encrypted email. This Professional Edition of InterActive vForms has an advanced E.A.R.S. (Email Automatic Return System) technology.

vTip #18 demonstrated how to create and run your personalized email marketing campaign using the Professional Edition of InterActive vForms.

vTip #19  will show you how  to populate a customized form from your LOS or contact management software, encrypt this form to be sent via email, and then be edited and immediately returned by the receiver to the sender complete with the edited information.

The Professional Edition of InterActive vForms now allows you to complete the email loop with InterActive forms. You then can re-populate the same form from this returned email file or download the data in a VLP designed database system. Automatically populating  a customized vForm, emailing this to a client, having them make their changes, and then emailing  this back to you via encrypted email requires to complete the following steps:

  • You must have the Professional Edition of InterActive vForms. The professional edition of vForms can be identified by the words "vForms Professional" in the top left corner of vForms main screen when the software is on your computer.
  • You will need to check the appropriate boxes in vForms and give your borrowers or clients the instructions on how to edit and return your emailed document or vForm.

STEP ONE: Professional Edition of InterActive vForms required:

  1. If you do not have the Professional Edition of InterActive vForms, you can upgrade your Standard Edition for a nominal fee by calling our office toll free at 877-498-6888.

STEP TWO: Emailing E.A.R.S. technology InterActive vForms

  1. Select your person from your borrowers, prospects, or contacts database icons and click on the form you wish to automatically populate from that data which is to be emailed to your contact.

Note: We also recommend you create a personal greetings RTF email message to accompany this InterActive form (see vTips # 13, # 14, and # 15 for assistance).

You can also select the E.A.R.S. instruction RTF that is furnished in the original library of vForms. This RTF document will give your borrowers instructions on how to work with your E.A.R.S. forms.

  1. Click on the SEND icon in vForms and vForms will open Adobe and display the document with a blue/green send box showing.
  2. After the form appears on your screen (usually the blue/green SEND box will be showing and the form will be approximately 40% of the monitor size), click on the name of the form in the "Bookmarks" section at the left of your screen after you have maximized the screen by clicking on the maximize icon in the top right hand corner of the form.
  3. Review the forms and make changes as you see appropriate. Click on the word "Submit" in the "Bookmarks" section at the left of the form. This will take you to the last page where you will find the blue/green "SEND" box. Click on this box to proceed with emailing this form. This will now take you to the "vForms Send Options" screen.

  1. Make sure the form(s) (including the RTF message if you selected one) are located in the right side box. We suggest you enter a password in the box called "Optional Password". Many of our vForms users agree upon a password with their clients before sending them an email. Some use the last four digits of the clients social security number or their clients first name all in lower case (vForms passwords are all CASE sensitive).

 

  1. Check the box "Enable Field Changes in Forms" just under the password box. This allows your client to make changes in any of the InterActive forms when they receive the form via email.
  2. Under the Active vForms section, check the box "Enabled". This will allow your client the ability to download this document file, make changes, and then submit the data file back to you completing the emailing loop process. Click "OK" and send the email. The next screen will show your email screen with an attached YELLOW Forms.exe file attached and your RTF email message included in the information section of your email. After you review the RTF email message (we suggest you include the instructions to your borrower in this message - see message below if you did not select the E.A.R.S. RTF document in step.
  • AOL users will have this YELLOW Forms.exe file sent to the "download" subdirectory under your current version of AOL.
  • Web-based email users (such as Yahoo.com) will find their vForm files in the "My Documents" folder.
  • AOL and web based email users should review the vTips on AOL and web base email special features and they will need to attach this file and then email the file and message to your client.
  1. Finish sending your email by clicking on the Send icon in your email system.

We have written an RTF document called E.A.R.S.  Instructions. If you do not have this file under your RTF Documents heading in the vForms library, contact us and we will forward you a complimentary copy.

We suggest you include the following instructions in your RTF message or the body of your outgoing email to your client if you did not select the pre-programmed E.A.R.S. RTF document found in your library of vForms:

INSTRUCTIONS WHEN RECEIVING YOUR E.A.R.S. TECHNOLOGY DOCUMENT VIA EMAIL

Please follow the steps below when you receive this email document to edit and return the updated form to me:

  1. Double-click on the attached "Forms.exe" icon in this email.
  2. A security warning will come up with any .exe file, this is normal. Click on "Save to disk".
  3. Choose the "Desktop" icon and then click "Save".
  4. Close or minimize your email and look on your desktop for a Yellow forms icon.
  5. Double-click on the yellow forms icon on your desktop.
  6. Choose Start Editing (at this point you will see a page with four instruction steps listed--print it for your reference).
  7. You can enlarge the form by clicking on the maximize icon or with the % box on the bottom of the page. Choose 100%-150%. Fill out the form completely by using your "tab" key to maneuver through the document, then go to the last page by clicking on the >> symbol or scrolling down. Then click on Submit.  If nothing happens, you need the Acrobat Adobe 4.05c version - you can download Adobe 4.05c by clicking on the Adobe icon on our website: Downloads.

An email will be created that is addressed to the individual who emailed you this InterActive vForm file.

The Professional Edition of InterActive vForms will allow you to select multiple contacts and send RTF marketing messages simultaneously. Using the Standard Edition, you will need to select a single contact and email your selected RTF marketing message and then repeat this step for the next contact.
