vTip #15 - Creating New Customized "RTF" Automated Email/ Letter Messages in InterActive vForms

What can you do with "RTF" automated email and letter messaging in InterActive vForms?

This RTF program will allow you to create custom letters and email messages that can be automatically populated with the data in your loan origination software (LOS) system or contact management software. You can simply click on a borrower or contact and then select your preprogrammed RTF form and print or email it.

We will use an existing RTF document to create a new customized RTF letter or email message form. In the preceding vTip #14, we showed you how to edit and make custom changes in the RTF document called "First Year -- New Home". Follow these steps and we will demonstrate how you can create a new RTF from this "First Year -- New Home" RTF:

STEP ONE: Create a new customized RTF form:

  1. Open vForms by a double click on the vForms icon on your computer desktop.
  2. Click on the "+" next to the forms library heading "RTF Documents".
  3. The available forms will appear (we will be working with the "First Year--New Home" form).
  4. Right click your mouse on the form named "First Year--New Home".
  5. A drop down menu will appear showing the following:
  1. Edit Document
  2. Set as Attachment
  3. Set as PDF

  1. Click on "Edit Document".
  2. Microsoft Word will appear and you will see two screens:
  1. Editing - Microsoft Word
  2. vForms Field List
  1. If you do not see both of these forms, drag the "Edit - Microsoft Word" file to the right and reduce the size of the file on your desktop screen by moving your mouse to the top or the side of the form until a line with an arrow at both ends appears. Hold down the left side of your mouse and drag the form smaller.
  2. When you can see both of these documents, click on "File", "Properties".
  3. An "Editing Properties" screen will appear on your computer screen.
  4. You will see the headings called: "Title" and "Subject".
  5. The "Title" heading shows what category the RTF document is located in your forms library.
  6. The "Subject" heading shows the name of the form (i.e. "First Year--New Home").
  7. Change the "Subject heading" to an appropriate name for your next customized RTF document (i.e. Welcome Letter).
  8. Click "OK".
  9. You now can edit this document by clicking into the form and re-typing it for your specific purpose. You can also highlight the entire letter and delete this text. If you have your new letter or document in another program such as Word, you can copy and paste this information into your new RTF letter.
  10. With InterActive vForms you can easily drag and drop any of the titles in the "vForms Field List" into the form to automatically populate this information from your LOS system. (See vTip #14 for details on how to drag and drop this heading into the forms).
  11. When you have the content of the letter as you desire, including any headings from you "vForms Field List", click on "File", "Save".
  12. Close this word document by clicking on the top "X" located on the top right hand corner of the word forms. YOU WILL NEED TO CLOSE OUT THE WORD PROGRAM COMPLETELY LEAVING ONLY THE vFORMS FIELD LIST SCREEN SHOWING.
  13. Next close the "vForms Field List" screen by clicking on the "x" on the top right hand corner of the "vForms Field List" screen. You will need to follow this specific order of closing the Word document first and the "vForms Field List" screen last in order for the new form to be saved and imported into your vForms library.
  14. vForms will notify you that your new document has been imported into your vForms library.

STEP TWO: Using your newly created RTF form

  1. Click on your Borrowers, Prospects, or Contacts icon selecting the desired database you wish to use with this new "RTF" form.
  2. Click on a name in your database that appears in the left side of vForms. This contact name will now be highlighted.
  3. Click on the "RTF Documents" library heading and "click" on the box to the immediate left of the new form name you created in step one above.
  4. Click on your "Send" icon at the top of vForms (used to email documents).
  5. Your outgoing email will appear on your screen with your customized letter already populating your message area. Review and edit the document and then send the email.
  6. You can also right-click on the letter first and set as an Attachment or PDF before emailing the RTF letter (see vTip #14).
