vTip# 14 - Editing RTF automated email files/ letters using InterActive vForms

"RTF" STANDS FOR "RICH TEXT FORMAT" A WORD DOCUMENT SAVED UNDER A SPECIAL FORMAT.

THIS vTIP, WE WILL SHOW YOU HOW TO EDIT AN "RTF" AUTOMATED EMAIL MESSAGE OR LETTER. WE WILL DO THIS USING ONE OF THE RTF DOCUMENTS INCLUDED IN YOUR LIBRARY OF vFORMS. THE DOCUMENT WE WILL EDIT IS LOCATED UNDER "RTF DOCUMENTS" HEADING IN YOUR FORMS LIBRARY AND IS CALLED "FIRST YEAR--NEW HOME".

Using vTip #13, you should now have the most current library of forms in InterActive vForms. Open vForms by double left clicking on the vForms icon on your desktop with your mouse.  vForms will open and your library of forms will be shown on the right side and you should have a category named "RTF Documents". If you are a Microsoft word users, complete the next four steps and we will have you edit these RTF documents using Microsoft Word:

  1. Open vForms by clicking on the vForms icon on your desktop.
  2. Left Click on "Tools", "Options".
  3. Left click on the tab "Defaults".
  4. Make sure the "RTF Merge Use Page Breaks" is checked.
  5. Click on "OK" and proceed to Step one below.

STEP ONE: Editing an existing RTF document:

(vTip #15 WILL SHOW YOU HOW TO CREATE A NEW RTF CUSTOMIZED DOCUMENT.

  1. Left click on box with the "+" inside next to the heading "RTF Documents".
  2. Position your mouse over the RTF document to edit and right-click.
  3. A menu will drop down showing the following:
  1. Edit Document
  2. Set as an Attachment
  3. Set as PDF

  1. Left click on "Edit Document".
  2. Microsoft word will appear and you will see two screens:
  1. Editing - Microsoft Word
  2. vForms Field List
  1. If you do not see both of these forms, drag the "Edit - Microsoft Word" file to the right and reduce the size of the file on your desktop screen by moving your mouse to the top or the side of the form until a line with an arrow at both ends appears. Hold down the left side of your mouse and drag the form smaller.
  2. You will notice that the word document has fields marked <Date>, <Borrower_Names>, <Borrower_Address>, showing. These are fields that we have programmed into the form by dragging the items from the vForms Field List at the left. If you scroll down the letter, you will notice other field names have been placed into the form called <My_Name>, <My_Company>, and others. These titles have also been taken from the vForms Field List at the left of your screen.
  3. "Forms Field List" is a listing of the data fields available in your LOS and contact management software systems.  When editing this RTF and creating other RTF documents, we believe you will most often use the "Borrowers", "CoBorrower", "Contacts", and "My ..." fields from the "vForms Field List". However, many of the other fields will populate if the data exists in your LOS database or contact management software for your present and existing database clients.
  4. You now can edit this RTF by clicking into the text of the letter and making appropriate changes. You can also drag and drop other fields from the "vForms Field List" into this letter. When you have the letter worded as you desire and you have added or deleted field names, left click your mouse on "File" and then "Save", or you can left click on the "save" icon that looks like a small floppy disk just below the "Edit and View" words across the top of your form.
  5. After you have saved your changes, close out the "Editing - Microsoft Word" file by clicking on the top right hand corner of the file making sure the entire file now disappears leaving only the "vForms Field List" showing.
  6. Now click your mouse on the "X" at the top right hand corner of the "vForms Field List". This will close his Box. MAKE SURE YOU CLOSE THE WORD FILE FIRST AND THE vFORMS FIELD LIST LAST. THIS ORDER IS NECESSARY TO SAVE YOUR CHANGES IN THE RTF DOCUMENT.
  7. You will now have a box appear on your monitor with a Warning "Replace: First Year--New home?
  8. Left click your mouse on "Yes".
  9. You now can review your edited RTF automated email message by left clicking on your "Borrowers" icon and then a left click on a specific borrower. Left click your mouse in the box to the left of the title form "First Year--New Home".
  10. Once the form has been selected, left click on the "Send" icon on the top of vForms (for this testing purpose, do not select other documents of forms in the library at this time).
  11. Your email messaging will appear on your screen with the RTF populating the form. Maximize your email form and review your recently edited RTF document - "First Year--New Home". You will see that the document fields were automatically populated from the data in your borrowers files from your LOS system. Repeat steps 1 through 14 until you are familiar with the procedure and you have the form edited and changed to your liking.

Warning: This "First Year--New Home" RTF document, will be replaced with the original library document when you check for updates using the "Help" icon at the top of vForms. If you wish to keep this form after you have edited it, make sure you say "NO" to replacing this document when you update your library of forms and software programs in the future. Our vForms software looks for the original heading and the original document name, if they match during this update process, you will be prompted to update the form. If you say yes, the form will be updated.
