| vTips #10 - Printing
and emailing forms, documents, and disclosures with the vForms PDF printer
included with InterActive vForms. STEP ONE: PRINTING THE FORMS
USING vFORMS PDF PRINTER
(When instructions refer to "Click",
this refers to clicking the top left side of your mouse unless specified
otherwise)
- You will need to open the files in your
software program and select the form or document you wish to print and email
using InterActive vForms (i.e., printing a completed 1003, good faith, TIL,
and state disclosure forms from Calyx Point - open your Point LOS and
select a borrower and select the forms you desire to print and email).
- Select the print page options.
- When your default printer shows on the
screen prior to printing, click the down arrow next to the printer and select
the vForms Printer.
- Once the vForms Printer has been
selected, print the desired form(s). These forms will not be printed in paper,
they will generate an image of the file and create a file that will
automatically be retrieved by InterActive vForms when you select the "Send" or
email icon in InterActive vForms.
- In the left corner of your
screens, you will notice the forms being tabulated and printed.
STEP TWO: EMAILING THESE FORMS
USING InterActive vFORMS SOFTWARE
- Open vForms by double clicking on the
vForms icon on your desktop.
- If you wish to email vForms InterActive
documents from your library of forms with the other forms, documents, or
disclosure forms printed in Step One using the vForms PDF printer, follow
steps 3 through 9. If you do not wish to email additional forms from your
customized library, click on the "Send" icon in vForms and skip to #10.
- Click on your "Borrowers", "Prospects",
or "Contacts" icon in vForms, selecting the desired database you wish to load.
- Click on a contact name and select the
customized forms you wish to automatically populate from the data in the
selected database (i.e., Borrowers will load your LOS borrowers database
contacts).
- Click on the "Send" icon.
- An Adobe Acrobat screen will appear and
then your selected vForms will show on the screen with the "Send" page being
visible.
- Review each of the forms for desired
content by clicking on the box with a + sign next to "Origination". Select the
forms and edit any of the fields in the form you wish to change. If you have
more than one form selected, you will see the name of the form in the
"Bookmark" area.
- Once you are satisfied with the content
of the customized forms, click on the word "Submit" on the left side under
"Bookmarks", this will show you the "Submit" page with a blue/green
box showing the word "SEND".
- Click on "SEND".
- "vForms Send Option" screen will
appear.
- "vForms Printer Available Documents"
will appear in the left box (these are the forms you printed with the vForms
PDF Printer).
- The customized library forms populated
from your database data will appear in the right box named "Included
Documents".
- You can view the vForms Printer
documents by a single click on a form in the left box.
- You will need to transfer any of the
vForms PDF printer documents to the right box named "Included Documents" by
selecting "ADD" or "ADD ALL", if you wish to include these forms in your
outgoing email to your client or vendor.
- You will need to have any of the
documents you wish to email located in the "Included Forms" area" before you
proceed.
- After you select the desired forms, you
can encrypt the file using a "case sensitive" password by entering that
password in the "Optional Password" field at the bottom of the form.
- If you wish to allow the recipient of
your email to edit or make changes in the InterActive customized forms (the
forms printed using the vForms PDF printer are not editable by the recipient),
click the box named "Enable Field Changes in Forms".
- If you wish to highlight your vForms
Printer Documents, click on the Highlight box in the left corner and then
click "OK".
- Highlight the documents (see vTip # 23
for highlighting vForms) and click "Send" to generate the email and convert
the selected files into secure PDF attachments (you will notice in the bottom
left side of your screen the number of vForms printed forms being converted to
secure PDF file attachment. The time to convert and load these forms varies
with the size of the form and the settings established for your default
printer).
- Two PDF attachments will be created and
load into your outgoing email form (AOL users will have two PDF files
generated and sent to your "download" directory under your current version of
AOL for you to attach to your email; web based email users will find their
files in "My Documents" folder). The vForms Printer generated forms will be
included in one of the attachments named "Docs.pdf" and the customized forms
from vForms will be included in a PDF attachment names "Forms.pdf".
- Confirm the email address for your
recipient, the subject title, and make any appropriate comments in the
comment area of the email before selecting the email or send button on your
email.
- You will also note that vForms
automatically attaches a message stating this is a PDF file and the recipient
will need the FREE Adobe Acrobat reader or the full Adobe writer version to
open and view these forms. If your clients do not have this FREE software, an
Adobe website is printed in the attachment or they can download this Adobe
version from our website: Downloads.
Note: Many of our clients
include their email address in the BCC field of the outgoing email. In this
manner, if you receive the email, then you will be very confident that your
client has received the same email and forms attachments.
