vTip #7 - Sort and Filter your LOS and contact management database using InterActive vForms

This advance function of InterActive vForms is worth the purchase of the software! Just Refinance one loan using the sorting tool!

Quickly sort and filter your entire database in your Loan Origination Software (LOS) and Contact Management Database by Interest Rate or other criteria:

InterActive vForms has an advanced feature allowing you to select a borrower, prospect, or contact from your loan origination software system or contact management database system quickly with a few clicks of your mouse! You now can get access to your past and present clients quickly using InterActive vForms. You can sort your database by selection of 21 major categories, INTEREST RATE being only one of these. You need to know how to access this data by a few clicks of your computer mouse.

Please see the following instructions to learn how this advanced feature of InterActive vForms works.

Step One: Sorting your Borrowers, Prospects, or Contact Databases:

(When instructions refer to "Click", this refers to clicking the left top side of your mouse unless specified otherwise)

  1. Open your InterActive vForms by double clicking the vForms icon on your desktop.
  2. Click on your "Borrowers", "Prospects", or "Contacts" icon, selecting the icon that represents the database files that you wish to load into your InterActive vForms screen.
  3. The names of the contacts will appear on the screen. The first column will be the name of your borrower, prospect, or contact. InterActive vForms initial installation defaults to having the Name, Phone, Amount, and Rate columns showing.
  4. Right Click on one of the names listed. The menus will give you three options: (Customize View, Save View, and as Address ). Left click your mouse on the "Customize View".
  5. A "Drag items to / from header" screen will appear. To drag these fields proceed to the nest step. 
  6. Including the columns already showing across the top of the screen, you have 21 fields you can select and drag to the top of the screen for viewing and sorting.
  7. Point to the field you wish to load, left click and hold your mouse down and drag this field upward  to the top of the headings until the circle with the line through it turns into two red arrows. At that time, release your mouse and that field will be added to the screen view.
  8. If you have a heading that you do not wish to have showing at this time, left click on that heading and hold your mouse button down while you drag this field off the page and release your mouse.
  9. When you have the columns showing that you wish to keep, right click your mouse on a contact name and left click "Save View". The next time you open InterActive vForms, this view will be shown until changed again by following the same procedure as above.
  10. You now can sort any of these fields by simply clicking on the column titles. To sort your complete database of borrowers by INTEREST RATE, click the work column named "RATE". If you click this field again, you will sort that column data in reverse order.

Step Two: Filtering your Database:

This will allow the  you to vie the borrowers/prospects that are linked with a loan officer.

  1. Click on the "Employees" icon just to the right of the "Contacts" icon.
  2. The list of employees entered into your InterActive vForms will appear with a "Rep" box next to each employee.
  3. This list of employees comes from your employee records entered into your "vForms Options/Settings" screen (You can add additional employees by clicking on "Tools", "Options", and the "Employee Tab")
  4. When you click or check the "Rep" box next to an employee, your "Employee" icon will turn "Red". At this time, you can select the Borrowers, Prospects, or Contact icon. You will only be able to access files that are now associated with the individual whose "Rep" box has been checked. You can load your database files more quickly selecting this option.         
  5. If you do not wish have this "Filtering" option, click on the "Employees" icon and uncheck the "Rep" box. The "Employees" icon will turn from red to no color.
